Add in-depth event details

Continue to create and edit the event and it is possible to continue to Save draft or when it is finished, Save and publish. When published, the event will be available for booking,(displayed in online booking if it is turned on). As long as the event has the status of draft, resources are not reserved, and the event will not appear in the calendar.

General
Have a look through all the settings and make sure you have filled everything in correctly. You can make changes directly in this view. You can also add exceptions to your previously opening times, for example if you would like to add other opening hours for the summer time.


Resources
Choose what resource you are interested in.

A shared resource means that the resource will be booked already when you publish the event. For example it could be a specific space where you know you will host a concert, then you need to book the space when you publish the event so that that room can’t be booked by someone else as well.

A non-shared resource means that the room will not be booked until someone buys a ticket to the event.

No resource chosen means that you will not be booking a specific space or resource for your event.

You can add up to 20 resources for each event.


Online booking
If the event should be available in online booking, you can fill in the information here, otherwise untick Show in online booking.

Regardless, select a Category if you would like the event to show up in the event calendar with a certain color.

Other settings you can add:

  • Web address: You can add the exact URL and choose to either show or hide it in the online booking. The field will be pre-filled, so you can ignore it if you don't know this.

  • Channel: If you choose to show the URL link in the online booking, you need to add at least one channel.
    For each channel, you can choose between Sales and Inquiry. Inquiry means that the order becomes an email, while sales becomes an actual order that is automatically registered in the system and reserves capacity and resources.
    For each channel you will also need to add how it should be paid; at the time of the booking, or later.
    You can also choose what price groups that should be visible online or not.

  • Category: The category is used as a filter in some views, and determines the color of the event in the calendar.

  • Publication date: If you don't want the event to be published right away, you can choose a future date. The event will then not be visible in online booking until this date. Leave the field blank if you want the event to appear in online booking immediately.

  • Sales start: If you want to publish the event in online booking, but not open for sale until a given date, you can enter the date here. Leave the field blank if you want to start selling immediately.

  • Sales end: If you want to close new bookings before the event starts, you can enter a date here. The event will still appear in online booking until the event ends.

  • Description: Enter a description of the event. Here you can enrich the text with headings, highlighted text, etc.
    The information box under the description is what will be visible to the customer just above the calendar when they are to book their tickets.

  • Image: Upload an image. The optimal image size is 700x360px. This will be displayed in the list view in the online booking.

  • Banner: Upload a banner. The banner image should be 1920x322px. The banner will be displayed above the event description in the online booking.

  • Image carousel: If you want, you can upload up to 20 images that will be displayed in a carousel after the event description in the online booking.

  • Attachments: If you want, you can upload up to 20 attachments that will be displayed in a list at the bottom of the event in the online booking. The attachments can be images, documents, presentations. Most known file types are supported, but not videos.


Prices
If you have not filled in this information earlier you need to fill in price groups and prices here.

An event has the option of several price models. You can set a price per order, and an additional price per person. For each price group, you can set an individual price.

  • Base price: You can choose to set a price per order. A use case could be a guided tour. Then you can take a base price for the tour itself, and possibly also an additional price per person.

  • Price per person: Enter the price per person. This price will apply to all price groups where you do not specify a different price. Note that 0 is allowed if it is a free event or the price per person should not affect the total price.

  • Price group: Select the price group and enter the price if it should deviate from the Price per person. By pressing + you can add as many price groups as you want.

You can also add if there are to be any exceptions to the prices. For example if there is a special price between certain dates and times.

You can also add if there are any season passes that should be valid for any of the events. If you forget to select a season pass here, it will not be valid for this event.


Capacity

  • Here you can add not just maximum, but also minimum capacity, for example if you want a minimum of 10 participants to run an event.

  • If there is no capacity limit, set the max capacity to 9999.

  • It is also possible to add a capacity per price group. For example, you can set the maximum capacity to 100, but specify a capacity of 20 children or VIP customers.

  • You can add exceptions to the capacity. These will apply per price group, and not on the total capacity of the event.


Add-ons

This is used if you are selling products together with the tickets.

  • Add a Title/name and a price model (set price or per person). This is good if you for example want to sell tickets to an exhibition and also offer tickets including an exhibition catalogue.

  • Choose the product that you want to include. You can make it mandatory or not, and/or toggle on the allow blank answer.

No thank you: SEK 0


Now you can either go on to advanced settings, follow the link below, save the event as a draft or save and publish it.
