Shopify

Loomis -Pay has a separate module for integration with Shopify. Shopify is one of the world's largest online store solutions, and is known for user-friendly solutions that require little in-depth technical expertise to set up, maintain and work in.

How the integration works

  • Synchronization of products and product groups. You create the product in one of the systems, and it is then created in the other. The fields that are synchronized are product number, barcode, name, description, price, offer price, VAT and manufacturer. The synchronization applies to both products and variant products.

  • Synchronization of inventory.

  • The actual order processing (packing slip, etc.) is handled as usual in Shopify.

  • Sales from Shopify are registered as sales in Loomis - Pay, and are included in the digital daily settlement.

All data is synchronized in real time.

Setup
You need API access in Loomis- Pay and a Shopify account to get started.

Loomis-Pay is available as an APP in the APP store at Shopify. It is not public, and is set up on-request.

Support will send a request to your Shopify account to set up the integration. To send the request, we need your store name in Shopify.

If you are unsure of your store name, this is available in Shopify under: Settings - General - Store name


Shopify also has the option for multiple locations. It is important that the correct Shopify location is linked to the corresponding department in Loomis - Pay.

An overview of your store's locations in Shopify is available under: Settings - Locations. Your store's Shopify locations appear here with the name of each location.

A department in Loomis - Pay can be linked to a Shopify location. If you need multiple Shopify locations linked to Loomis-Pay a department is required for each Shopify location.


Importing product registers
If your store previously had a Shopify online store, Loomis-Pay can download your product register directly from Shopify into Loomis-Pay.

Before the product register is synchronized from Shopify to Loomis-Pay, there are a few things we need to be aware of and be aware of.

  • SKU - If one/more products are missing SKU, a random productnumber will be generated for the product in Loomis-Pay. Best and recommended practice is to add SKU to all products before synchronizing from Shopify to Loomis-Pay.

  • Duplicate SKU - If one/more products have the same SKU, the SKU from Shopify will be used as the productnumber for only one of the products in Loomis-Pay. The remaining products will have a random productnumber generated in Loomis - Pay. Best and recommended practice is to conduct a review of the product register in Shopify to ensure that there are no duplicate SKUs.

  • Multi-choice variant products - If you currently have products with multiple variant choices, e.g. "T-Shirt" - Size - Color, this will be synchronized to Loomis - Pay without any problems. Loomis-Pay supports "one level" of variants, the variants will therefore be merged and you will get one variant for all possible combinations of the product in Loomis-Pay. If you want to continue creating products with multi-choice, you must continue with Shopify as your product base.

Shopify has several different extensions easily available from its APP store that can generate SKUs for your products, and notify you if you have products with duplicate SKUs.

After the product register has been synchronized from Shopify to Loomis-Pay, the product base can be switched from Shopify to Loomis-Pay. If Shopify is used as the product base, inventory, etc. must be carried out in Shopify.

If your store does not have a Shopify online store from before, you choose which system you want to be the product base. Recommended practice is to use Loomis-Pay as the product base.

Setup with Loomis- Pay as master
From the product register inLoomis- Pay, you choose which products your store wants synchronized from Loomis- Pay to Shopify.

Under the menu option "Catalog > Products" from the menu on the right. Search for the product you want to synchronize from Loomis- Pay to Shopify. Click "Change". Select "YES" on the parameter "Show in online store". The product is now synchronized to Shopify.

When creating new products in Loomis- Pay, all product data specified for the product will be synchronized to Shopify, and used to create the product in Shopify.

Explanation of which product values ​​in Loomis- Pay
correspond to which product values ​​in Shopify:

  • Loomis- Pay product number = Shopify SKU

  • Loomis- Pay barcode = Shopify barcode/barcode

  • Loomis- Pay product group = Shopify product type/product type

  • Loomis- Pay manufacturer = Shopify vendor/seller

Product values ​​that can be changed in Shopify, after the product is synced from Loomis-Pay:

  • Product description text. Description from Loomis-Pay will be used when the product is first synced from Loomis-Pay to Shopify. This can be changed in Shopify as needed to better format the text for the online store.

  • Product image(s). Images can be added in Shopify, and you can also change the main image for the product. Loomis- Pay supports one image per product.

  • Product type. Product group will be used for this field when the product is synced from Loomis- Pay to Shopify. The field can then be changed as needed in Shopify.

  • Product collections, collections can be freely modified in Shopify.

Loomis- Pay will not overwrite the above data if it is updated in Loomis- Pay. The following fields must therefore be updated in Shopify, possibly also in Loomis- Pay as needed.

Product data not specified in the list above MUST be changed in Loomis- Pay.

Important points
These actions MUST be performed in Loomis- Pay, given that Loomis- Pay is configured as the product base.

  • Creating new products.

  • Updating/changing product data (certain product data values ​​are not updated across systems, but are used when creating new products across systems.

  • These parameters can be changed in Shopify after the product has been synchronized from Loomis- Pay to Shopify.

  • Product counting and goods receipt.

If a product is deleted in Shopify or Loomis- Pay, the system will have problems with synchronizing this product. It is therefore important that the product is deleted in both systems to avoid synchronization problems.

Shopify has the option to disable products from being displayed in the online store if your store has a seasonal catalog, for example. To disable a product in Shopify, first search for the product, click on the product, and then select Product status: "Draft/Draft".

If you only want to delete a product in Shopify and not in Loomis - Pay, disable the "Show in online store" parameter on the product card in Loomis - Pay, and then delete the product in Shopify.

Multi-selection cannot be set up in Shopify if Loomis - Pay is the master for the product database. If you get a new size/color/variation of an already existing product with multi-selection, this product must therefore be set up again for the sync between Loomis - Pay and Shopify to be correct.

Setup with Shopify as the master
With Shopify as the product base, all your products from Shopify will be continuously synced to Loomis - Pay.

These actions MUST be performed in Shopify, given that Shopify is configured as the product base.

  • Creation of new products.

  • Updating/changing product data

  • Counting and receiving goods.
